Keep the proof
Save receipts and payment confirmations in one folder, named by month. A phone photo is usually enough for small costs.
Same slot every week
Choose a fixed slot, such as Sunday after lunch. Tie it to something you already do so it becomes automatic.

Twelve months of these pages give you, or an accountant, everything needed for a tax return without searching through old messages.
